Job Title: Recruitment Administrator
Location: Azerbaijan, Baku
Recruitment Administrator will support HR team with all areas of recruitment administration, acting as a main point of contact for initial enquiries and supporting candidates through the recruitment journey; to provide support across the full recruitment cycle, selection process and on-boarding process.
Key responsibilities (including but not limited to):
- To liaise with HR manager on recruitment needs and updating the recruitment tracker
- Drafting of adverts and timetabling of the recruitment process where required
- Advertise vacancies online via internal and external job boards (LinkedIn etc.)
- Manage all email/telephone enquiries about advertised vacancies, and maintain the recruitment inbox
- Manage all stages of each vacancy ensuring all tasks are completed within the agreed timeframes
- Liaise with and work alongside recruitment agencies to source strong candidates, reviewing and agreeing fees, terms and conditions when required
- Participate in the selection panel where required and facilitate practical assessments
- Provide guidance and support to HR manager and recruiting managers to ensure best practice is upheld throughout the recruitment process
- Liaise with candidates throughout the recruitment process, notifying via email successful and unsuccessful candidates following the shortlisting and selection process stages of recruitment process
- Create and generate job specific offer letters to ensure terms of offer are accurate and applicable to the position
- Manage all stages of the onboarding process and pre-employment checks, including references, professional registration, occupational health pre-employment assessment, verifying ID and qualification documents, and any other checks as required
- Prepare contractual paperwork, ensuring that documents are issued in a timely manner
- Ensure new employees are successfully converted from the Recruitment system to the HR system in a timely manner and in line with monthly payroll deadlines
- Support the HR Team by facilitating monthly HR inductions for new starts when required
- Create and maintain electronic HR employee files and databases, as appropriate, ensuring information is accurate and retained in accordance with information governance and data retention requirements e.g. interview notes, assessments, and all other documents gathered throughout the recruitment process
- Provide routine and ad hoc management information and statistical data in relation to recruitment activity
- Responsible for dealing with general, face-to-face, email and telephone queries related to recruitment, ensuring these are answered in a timely manager or passed to the appropriate individual for a response
- Undertake all aspects of administration including updating spreadsheets and databases, drafting communications, scanning and filing documents and creating reports
- Responsible for developing internal working policies and procedures to improve efficiency
- To cover the HR Specialist’s duties in their absence and support during busy periods
- To work flexibly as may be required by the needs of the Company and carry out any other reasonable duties as required
Requirements:
- 5+ years’ experience in recruitment area
- A good understanding of employment legislation relating to recruitment
- Excellent IT skills (including experience of developing computerized systems and manipulating data to produce accurate management information reports)
- Excellent oral and written communication skills (English, Azerbaijani, Russian languages) including the ability to write advertisements, job descriptions effectively
- Ability to explain policies to managers and champion best practice clearly and tactfully
- Discretion and the ability to handle confidential matters sensitively
- Proactive and solutions-focused approach and is always on the lookout for inefficiencies
- Excellent attention to detail
- Excellent organizational and prioritization skills, an ability to work flexibly and to meet deadlines
- Ability to multitask and manage multiple deadlines
- Resourceful and proactive, with a positive can-do attitude
- Friendly and outgoing with the ability to interact positively with people at all levels
- Ability to work closely with others in a small and supportive team environment
