Purpose of the role:

Office Admin is performing the duty of clerical and administrative support in order to optimize workflow procedures in the office. Assisting colleagues and executives by supporting them with planning and distributing information as well as being the point of reference for all queries, requests or issues.

Job Requirements:

  • Answering phone calls, taking messages or forwarding calls to appropriate staff member.
  • Reviewing outgoing correspondence for grammar, correctness and completeness, and ensures that required documents are attached.
  • Incoming and outgoing mail handling. Reviewing, sorting and distribute the mail to the respective recipients.
  • Arranging meetings and coordinating conference room schedules. Prior to meetings, gathering background materials if required and setting up the meeting venue.
  • Performing documentation works, both electronic and paper. When requested, searching for and compile requested material from the databases.

  • Strong interpersonal skills.
  • Good written and verbal communications skills.

  • Solid understanding of filing systems.
  • Knowledge of general office procedures.
  • A strong work ethic.
  • Integrity and professionalism.

Essential requirements:

  • Education: Bachelor’s degree.
  • Work experience: Proven work experience as a secretary or administrative assistant (minimum 1 year)
  • Language skills: Azerbaijani, Russian. English (intermediate) 
  • Computer skills: Microsoft Office (Knowledge of word processing and spreadsheet software, including Word and Excel).
