Duties & Responsibilities:

• Event management: logistics, registrations, materials, catering, follow up, etc.
• Purchasing office supplies and equipment and maintaining proper stock levels
• Producing reports, composing correspondence, and drafting new contracts
• Creating presentations and other management-level reports
• Monitor office expenditures and handle all office contracts (rent, service etc.)
• Perform basic bookkeeping activities and update the accounting system
• Partner with Finance and HR to update and maintain office policies as necessary
• Manage reception and internal distribution of mailing and courier
• Help in planning in-house or off-site activities, like company events, meetups and conferences
• Office admin tasks: welcome guests, arrange meeting rooms, prepare meetings
• Assist in vendor relationship management
• Prepare, manage and review the provision of high-level communications and correspondence including briefings, reports, submissions and notes to ensure the comprehensiveness, accuracy, and timeliness of written information
• Research and prepare strategic advice, information and reports on planning and operational matters to facilitate informed decision making and planning
• Contribute to projects to support the achievement of organization level strategic and operational objectives
• Fulfill duties as assigned by the director or the authorized person

Qualifications

• Senior or Recent Graduate (BSc/BA), current MSc/MA students in the business administration, management or related field (MBA degree is preferred)
• A creative mind with an ability to suggest improvements.
• Knowledge of an English language (at least intermediate level), Russian is preferred
• Proficiency in software applications
• General computer skills including Microsoft Word, Excel, PowerPoint and Project
• Proven ability to work collaboratively well with diverse groups
• Strong organizational skills, detail-oriented, and efficient
• Knowledge of office management responsibilities, systems and procedures
• Excellent time management skills and ability to multitask and prioritize work
• Excellent written and verbal communication skills
• Basic knowledge of accounting, data and administrative management practices and procedures
• Basic knowledge of human resources management practices and procedures
• Knowledge of business and management principles
• Working knowledge of office equipment (e.g., optical scanner, printer)
• Attention to detail and problem-solving skills.
