Management Information Systems officer (MIS)
• To ensure that all requirements of the Project related to documentation are understood, free of error and ambiguity, and without conflict;
• To ensure that departmental resources are planned and implemented to meet contractual objectives;
• To ensure that all departmental personnel understand and participate fully in the requirements of the Project Quality Management System;
• To identify and manage any documentation Authority interfaces and requirements;
• To ensure that the requirements for documentation control are implemented within the DCC system.
• To ensure that all documentation interface requirements are identified and implemented within the DCC system, document numbering, numbers of copies, media type, original requirements, electronic support, languages, final documentation, handover, etc.;
• To coordinate any external DCC support services such as reproduction facilities;
• To prepare in conjunction with the project team members, a document and data control plan for the project;
• To prepare a database for the control of documents and company incoming data;
• To prepare a database for the control of outgoing documents;
• To prepare and manage standard internal/external document and data distribution matrices;
• To plan, resource and manage a central filing system for all project documentation and data;
• To plan, resource and maintain a project document archive;
• To plan, establish and manage a final documentation database and hard copy system that has recognised irretrievability and traceability elements;
• To act as a central point for the receiving, recording, internal processing and dispatch of all project documentation and data from an external source;
• To implement a system that expedites the flow of documentation through the project team in order that planned internal review times are maintained;
• To implement a system of outgoing document transmittal that manages and records all outgoing document data;
• To ensure that all suppliers and contractors are aware of the document control interface requirements and that they follow them;
• To monitor all document deliverable milestones though the DCC databases and report to project management on any slippage or negative trends;
• To prepare and maintain incoming and outgoing communication databases, central files and archives;
• To act as a central receiving point for all incoming project correspondence;
• To ensure the flow of communications through the project team using the procedure for communication control;
• To expedite correspondence actions appointed by the Project Director;
• To establish and maintain a database, central file and archive for project minutes of meeting;
• To establish and maintain a database for meeting actions;
• To report to project management on outstanding meeting actions;
• To prepare, at defined intervals, project document and data progress reports and analyses;
• To assist the project in the development and proposal of action plans to correct any negative trends that may lead to contractual non-conformance with regard to documentation and data management, delivery or storage;
• IT advancements in technology are monitored for adaptation to the system if necessary;
• Ensuring that the project software licenses are established and remain current;
• Ensuring that network software requirements are maintained in accordance with contractual requirements;
• To monitor the continued suitability of the network, its components and software and to report deficiencies or possible improvements;
• To provide continued user support in terms of hardware and software;
• To ensure that any personnel training needs of needs are identified and applied whenever necessary.
