Responsibilities includes:

• Develop, lead and execute document management system and control strategies, policies and procedures and the software
• Tracking and reporting key functional metrics to reduce expenses and improve effectiveness
• Introduce and train the team on best practices of Projects controls and Project Management in construction
• Assess, manage and mitigate risks of procurement (Tendering, purchasing, etc.)
• Perform cost and scenario analysis, and benchmarking
• Responsible for control of technical, correspondence and administrative documents, including transmittals and other forms of official correspondence between all parties (Clients, Consultants, Architects, Sub-contractors, suppliers etc.)
• Demonstrates ability to plan and schedule work (short term and long term) and ensures execution of work plan by sub-ordinates.
• Implements systems for correspondence (i.e. Transmittals, Letters, Shop Drawings, MOMs, etc.)
• Ensuring Information Protection and Information Security applied, checking that client Confidential and/or Sensitive Distribution managed appropriately in hardcopy and electronic formats.
• Issues document transmittals, transmittal numbers and correspondence numbers in accordance standards
• Receives, quality checks and processes technical documents from suppliers, contractors, etc. and captures these in excel or (other document management system)
• Prepares and transmits Final Documentation to Operating Company
• Monitoring the information flow on the in-house collaboration tool.
• Issuing all construction documents to the relevant contractors and performing quality checks on all incoming documentation.
• Receive and archive all electronic information and hard copies as required.
• Liaison with other departments, the Accounting, Procurement, Technical Office, and other Divisions.
• Develop and manage Estimates at Completion and prepare Earned Value Implementation projects.
• Implement planning, review, control, startup execution and closeout processes and engage in process improvement activities.
• Revise, monitor and exercise configuration control of contract and project documents.

Competency Requirements:

• Minimum 5 years’ experience in a similar role
• Effective communication within team and with stakeholders
• An experienced user of the relevant Programme tools, techniques
• Management based Project Control systems, in accordance with relevant standards
• Computer literate & experienced in Microsoft Office applications.

Qualifications

• Educated to Degree level or equivalent in a relevant subject.
