Purpose

Sibley International announces this vacancy for 1 long-term local staff to provide administrative services to the ACT Project staff. The Receptionist and Administrative Assistant will be the receptionist for the office of the ACT Project, and execute other administrative services.

Background

USAID’s Azerbaijan Competitiveness and Trade (ACT) Project is a three year project implemented by Sibley International that aims to improve the legal and regulatory environment for businesses, create a more open and transparent trade environment, and strengthen value chains in Azerbaijan (especially in agriculture). As a member of the ACT Operations team, the Receptionist and Administrative Assistant  will assist in the administration of project related issues as deemed necessary for the efficient implementation of the project.

Period of Performance and Specific Tasks

This work will take place in Azerbaijan starting as soon as approved, for the duration of the project subject to satisfactory performance.  The Receptionist and Administrative Assistant shall:
• Provide secretarial assistance, including: answering telephones, back-up telephone duties; typing of documents and E-mails; copying documents; preparing and filing documents, preparing and sending fax messages etc.
• Answer the main phone line & greeting visitors;
• Set up meetings, interviews, and other appointments for technical staff;
• Order refreshments, catering, beverages for meetings;
• Handle outgoing and incoming correspondence (mail & faxes);
• Purchase & Maintain the Stationery stocks;
• Edit documents as requested;
• Assist with logistics for the Expatriate staff;
• Maintain time & attendance sign in/out sheet for the staff;
• Organize logistics for workshops/seminars as requested; and
• Any other duties assigned by the immediate supervisor/Chief of Party or her designee.

 Reporting
In executing this scope of work, the Employee shall report to Office Manager, Lala Mehraliyeva or her designee.

Qualifications

• University degree or higher diploma certificate in Business Administration, management or any related field.
• Previous secretarial experience working as a secretary in a private or public institution.
• Previous experience working in an international funded Program preferred. 
• Strong written and verbal communications skills
• English language skills
