Office Manager
Our company is currently looking for a “Office Manager” to work under the following conditions:
Work Location: Baku, Azerbaijan (Onshore)
Type of Assignment: Contract
Contract Duration: Permanent
Work Schedule: 5 days a week based on 8 hours per day
Start Date: ASAP
Salary: negotiable
Office Manager, duties and responsibilities:
• General office operations (provide support to visitors, answering incoming phone calls, organizing and scheduling meetings etc.)
• Maintain the office condition (order office stationery and supplies, arrange necessary repairs etc.)
• Point person for printing, mailing, shipping/delivery and, transport and accommodation.
• Record correspondences and maintain relevant database and filing systems
• Assist in organizing company events or conferences
• Assist in arranging job postings and interviews
• Assist in translating business letters, brochures etc.
• Maintains office services by organizing office operations and procedures;
• controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions
• Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement
• Designs and implements office policies by establishing standards and procedures
• Completes operational requirements by scheduling and assigning employees; following up on work results
• Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends
• Maintains office staff by recruiting, selecting, orienting, and training employees
• Maintains office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results
• Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions
• Contributes to team effort by accomplishing related results as needed
• Lease with Facility department and make sure that all procedures are with local legislation
Office Manager, desired experience:
• Proven experience as an Office manager, Front office manager, Receptionist or Administrative assistant
• Proficiency in MS Office (MS Excel and MS Outlook, in particular)
• Hands on experience with office machines (e.g. printers)
• Excellent time management skills and ability to multi-task and prioritize work
• Education degree (preferably BBA or MBA)
• Minimum 3-5 years of working experience in Office administration
• Knowledge of Office administration policies and procedures, as well as any procedures based on local legislation and regulations
• Fluent Azeri, Russian and English
• Advanced knowledge of MS Office
• Excellent interpersonal, business communication and analytical skills
• Strong organizational skills and commercial awareness
• Excellent time management and planning skills
• Ability to work under pressure
