Position Summary:

  • The role of a personal assistant is to free an executive's time from organizational and administrative tasks so that they can spend maximum time on strategic tasks.

Job Duties:

  • Perform administrative work, including scheduling, maintaining files;
  • Reminding the manager/executive of important tasks and deadlines;
  • Answer telephone calls and provide needed information;
  • Organizing and maintaining personnel records;
  • Checking time sheets;
  • Manage diary and schedule meetings and appointments;
  • Assist in the preparation of meeting agendas, presentation materials, briefing papers, reports etc., in advance of meetings or events;
  • Translation of mails / documents / presentations into Azer / Russian languages.
  • Other duties required by Line Manager.

Accountability:

  • Accurate personnel data record to ERP system
  • Responsible for scheduling meetings, managing the executive's business calendar 
  • Keep confidentiality

Typical Skill Requirements:

Experience:

  • 3+ years’ related administrative experience;
  • Previous experience in similar role is an asset
  • Excellent secretarial skills, including fast, accurate minute taking and typing
  • Experience of managing a complex and changing diary with attention to detail and the ability to work speedily and accurately

Language Skills:

  • Advanced knowledge of Azerbaijani, English & Russian

Technical Skills:

  • A knowledge of standard software packages and the ability to learn company-specific software if required.

Equpment Skills:

  • Excellent IT skills including Word, Excel and PowerPoint. 
  • Familiarity of SAP an advantage
  • Experience with office equipment 

Soft Skills:

  • Excellent organizational skills, with an ability to prioritize important projects
  • Flexible thinking;
  • Organizational and time-management skills to meet deadlines. 
  • Teamwork skill;
  • Problem solving skill;
  • Data-driven mindset.

Training & Education Needed:

  • Bachelor’s Degree in any relevant field;
