Main responsibilities: 

  • Reception and distribution of calls.
  • Receiving, sending, control and distribution of electronic and other letters.
  • The organization and different control of the events held at office.
  • Help and assistance to the head of the company, and also performance of orders of staff of office.
  • Order of water, stationery, other economic needs of office.
  • Maintaining the monthly reporting on the ordered stationery, kitchen supply. Check and comparison of monthly invoices to the report on the ordered.
  • Maintaining the monthly reporting on number of the sent letters. Check and comparison of monthly invoices to the report on number of the sent letters.
  • Interaction with couriers.
  • Carrying out inventory of stationery and other goods at office.
  • The help in the translation of various texts and announcements 
  • Providing an order at office, observance of purity and accuracy, care of office plants.
  • Meeting of visitors of office and arranging tea/coffee.
  • Control of work of technical service.
  • Organize and schedule meetings and appointments of CEO.
  • Take minutes during meetings.
  • Screen and direct phone calls and distribute correspondence.
  • Responsible for the incoming/outgoing letters/documents of CEO.
  • Prepare internal and external corporate documents for team members and company partner.
  • Make travel and accommodation arrangements.
  • Maintain an organized filing system of paper and electronic documents

Requirements:

  • High school diploma.
  • 2 years of experience in secretarial work, office administration, personal assistant.
  • Extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint.
  • Fluency in Azerbaijani, Russian and English;
  • Advanced typing, note-taking, recordkeeping, and organizational skills.
  • Ability to manage internal and external correspondence.
  • Proficiency in appointment scheduling software such as MS Outlook, as well as call forwarding.
  • Excellent written and verbal communication skills.
