POSITION SUMMARY

The Asset Management Specialist is responsible for tracking and maintaining the University asset database to ensure accuracy and location of all fixed assets across the organization. Managing and ensuring that the fixed assets are recorded and updated in the Banner system in an accurate and timely manner.

REQUIREMENTS

• Bachelor’s degree in business, accounting or a related field or equivalent experience in purchasing, inventory or logistics.
• Experience with asset and inverntory management processes
• Strong verbal and written communication skills.
• Excellent problem solving and analytical skills.
• Excellent organizational and planning skills with attention to detail and follow-through.
• Strong interpersonal skills and ability to establish and maintain effective working relationships.
• Excellent computer skills and proficiency with entering data into a system.
• Knowledge of governmental and University procurement processes and procedures.
• Excellent customer service skills.

RESPONSIBILITIES

The responsibilities of the position include, but are not limited to the following:

• Coordinate, update and maintain the database for new and existing fixed assets which includes entering new assets into the Banner system, such as description, model number, serial number, location and acquisition cost.
• Affix asset tags on new equipment for tracking purposes which includes registering and placing barcodes on fixed assets, creating fixed asset origination tags, converting origination tags to permanent tags; assigning depreciation information on tags, creating primary tags when needed.
• Reconcile fixed assets module with related fixed asset general ledger and coordinate any variances with Director of Finance which will involve deleting non-capitalized assets, removing erroneous origination tag, adjusting value and accumulated depreciation of assets.
• Process fixed asset inventory additions, deletions, and transfers as needed, to include the recording of gifted, donated assets, the allocation of fixed assets to new employees, the relocation and replacement of assets; the disposal and sale of surplus assets.  Ensure all changes are accurately and timely entered into the Banner system.
• Assist in the development of written processes and procedures for identifying, tracking, transferring, reporting and as requested, disposing of fixed assets.
• Conduct periodic and annual fixed assets physical inventories as required by ADA University, which includes locating the fixed asset and making necessary changes in the Banner system.
• Managing, purchasing and coordinating assets during organisational events and updating status of assets within Banner system.
