Front Desk Administrator

Purpose Of Job:

Reporting to the Deputy Director, the Front Desk Administrator will undertake all receptionist and clerical duties at the desk of our main entrance. You will be the “face” of the company for all visitors and will be responsible for the first impression we make.

The ideal candidate will have a friendly and easy going personality while also being very perceptive and disciplined. You should be able to deal with complaints and give accurate information. A customer-oriented approach is essential.

The goal is to make guests and visitors feel comfortable and valued while on our premises.

Key Areas of Responsibility:

Health, Safety, Environmental and Quality
• Carry out work activities in accordance with all HSEQ requirements and procedures
• Conduct yourself in a safe manner and in a manner to protect the safety of others
• Carry out personal risk assessments and any other health and safety requirements to ensure personal safety

Operational Responsibilities
• Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)
• Greet and welcome guests, answer questions and address complaints
• Answer all incoming calls and redirect them or keep messages
• Receive letters, packages etc. and distribute them
• Prepare outgoing mail by drafting correspondence, securing parcels etc.
• Check, sort and forward emails
• Monitor office supplies and place orders when necessary
• Keep updated records and files
• Monitor office expenses and costs
• Arranging vehicle servicing, MOT and repairs based on reports provided by Drivers.
• Take up other duties as assigned (travel arrangements, schedules etc.)
• Provide support to Deputy Director / Director

Job Description

• Provide coverage for Coordinators (if required and as assigned by Deputy Director)
• Accounts Receivable Duties under supervision of Accountant
• Carry out work activities in accordance with Company procedures under the instruction and guidance of responsible to
• Ensure all work activities are completed in accordance with Company procedures and in compliance with customer requirements

Administrative / Leadership Responsibilities
• Complete all required information on required documentation in accordance with Company procedures

Competence Assurance System Responsibilities
• Ensure assessment induction process and checklist are completed in accordance with procedures
• Actively participate in the Competence Assurance System to confirm personal competence within job role in accordance with procedures
• Participate in the performance appraisal process in accordance with Company procedures and within agreed timescale

Qualifications

Degree in any related field
Degree in Business Administration

Experience

Proven experience as front desk representative.
Familiarity with office machines (eg fax, printers etc)
Knowledge of office management and basic bookkeeping
Excellent Knowledge of MS Office (especially Excel and word)
Previous experience in various databases and reports

Skills / Training

Advanced Azerbaijani and English
Strong communication and multi-tasking abilities
Problem solving skills
Customer service orientation
Timely completion of work deadline and capacity to work under pressure

Salary Range – 900– 1300 AZN Gross (depends on experience and ability)
