Purpose

Spectators from Azerbaijan and all over Europe will come to the Games to share the excitement of an exciting event. They will come with great anticipation and high expectations, as well as different experiences and cultural backgrounds.
Event Services (EVS) mission is to provide a safe environment and welcoming experience to the Baku 2015 European Games guests. EVS will interact with the guests outside and inside the venues; from the venue entrances and ticket validation points all the way to the stands and the concession areas. They will expect a warm welcome from knowledgeable staff ready to assist.
Event Services perform a wide range of activities and services focused on crowd management, spectator safety, providing directions, validating tickets, ushering, access monitoring, information points operation, lost & found items management and mobility assistance services.
The Event Services Manager is responsible for the effective and consistent planning, Games readiness and successful delivery of Event Services for a specific venue. (S)he will manage a team of 100 to 600 Deputy Venue Managers, Supervisors, Team Leaders and Hosts (Paid Stewards and Volunteers) depending on the venue size. See generic EVS venue team below:

Key accountabilities

Responsible for the planning and implementation of Event Services venue operations and services for a specified venue.
• Ensure the effective planning and implementation of the venue spectator areas operations and services by working closely with Venue Management and other key functional areas.
• Ensure consistency on EVS operating standards across the all venues.
• Develop and implement EVS operational documents for the venue (e.g. crowd management plans, venue operating plans, workforce posts instructions, daily operational activities, safety plans, etc.)
• Complete and track planning deliverables as per the Event Services project plan and other BEGOC established timelines.
• Monitor progress of venue plans, identify risks, gaps and opportunities for efficiencies and proactively communicate the venue’s project status, issues & risks to the Cluster Manager.
• Implementing EVS policies and procedures and adapting where necessary to the specific needs of the venue.
• Oversees the resolution of the major issues of the venue and escalate to the Cluster Manager when appropriate.
• Transfer operational knowledge and mentor the EVS Deputy Managers to ensure they perform their roles successfully.
• Oversee the planning and implementation of the Event Services Games-time Workforce for the assigned venue.
• Plan and deliver venue specific workforce requirements, including staff numbers, deployment plans, contingencies and other.
• Manage Event Services Games-Time workforce for optimal performance and retention; provide consistent direction, support and leadership to all EVS’ staff (paid and volunteer staff) assigned to the venue.
• Ensure the effective planning of the EVS spaces, equipment and technology requirements by working closely with Venue Management, Logistics and Technology.
• Works with the EVS Spectator Information Manager for the planning and delivery of venue Information Point operations, the Lost & Found services and the Games Accessibility services of the venue.
• Train deputy venue managers, supervisors, team leaders and hosts in the specific duties of their job.
• Deliver job specific and venue specific training sessions for EVS volunteers.
• Lead the planning of other EVS or related projects as assigned by the Cluster Manager or other EVS Senior Managers.
• Assist in the selection, communication and interviews of the EVS Venue Team (Supervisors, Team leaders, hosts) for all venues.
• Develop and maintain effective relationships with key stakeholders.

Knowledge, experience and qualifications required

Professional experience in sport events, concerts, theatrical shows, entertainment, tourism and hotel management
• Good knowledge of event services operations - crowd management, venue security, ticket validation, ushering, access control, spectator information, lost and found items management, accessibility services and event safety.
• Strong oral and written communication skills in English.
• Proven ability to effectively lead, motivate and supervise individuals and teams
• Proven customer service capability and experience
• Sound decision-making based on proven event experience
• Sound experience in managing large and diverse teams
• Team player when led by others
• Displays highest levels of integrity and commitment
• Energetic, enthusiastic, professional in demeanor, positive attitude and team spirit
• Ability to cooperate effectively and build strong relationships with key stakeholders.
• Strong organizational skills with the ability to manage and deliver complex projects to time, quality and within budget.

• Ability to present efficiently and confidently to large groups.
• Ability to work for long hours and during weekends. As the Games come closer, the daily hours may increase and the weekend work will become more consistent.
• Proficient with PC’s software including Word, Excel, PowerPoint and Microsoft Outlook.
