Office Assistant

 Key Responsibilities:

  • Oversee clerical tasks such as sorting and sending emails, as necessary.
  • Manage office supplies, including tracking inventory and placing orders for new materials when needed.
  • Handle office petty cash and maintain accurate records.
  • Maintain and organize files on the server and in hard copy, including but not limited to contact information, invoices, and office payment records.
  • Answer and direct phone calls professionally.
  • Schedule meetings, send out meeting invitations, and take and distribute meeting minutes when required.
  • Prepare and submit monthly expenditure reports, including phone bills, credit cards, and cash expenditures.
  • Arrange staff medical screenings, personal protective equipment (PPE), and other compliance-related needs.
  • Assist with planning and scheduling tasks as needed.

Qualifications:

  • Strong verbal and communication skills in English 
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks efficiently.
  • Proficiency in Microsoft Office and email management systems would be an asset 
  • Ability to maintain confidentiality and handle sensitive information
  • Ability to work effectively as part of a team.
