About the Job:

  • Under the close supervision of the HR officer/HR Manager, the HR Assistant assists in carrying out administrative work and preparing, updating documents for delivering HR services, in line with ICRC’s and delegation’s policies and the applicable laws and regulations.

Duties and Responsibilities:

  • Provides general secretarial and administrative support (Personnel folders, staff files and contractual updates, correspondences, registration, input and filing etc.,) to the HR officer. 
  • Ensures that the personal files of resident staff members are up to date.
  • Enters all HR info (personal information, compensations, remuneration, absences, leaves, trainings, appraisals, etc.) in HR Database. 
  • Prepares personnel folders, employment contracts, job descriptions, ID cards, employment    certificates, end of employment documents, etc. for resident staff members.
  • Ensures necessary administrative works are timely implemented according to ICRC standards and rules. 
  • Registers and updates HR information (general and specific) accurately and with confidentiality when necessary.  
  • Under the supervision of the HR Officer provides support to the recruitment process, arranges tests, interviews, and contacts with applicants when necessary.
  • Translates all types of documents from English to Azeri and reverse.
  • Registers training certificates in database properly and doing the filing
  • Archiving of personnel file of employees properly.

About you:

  • High education (University or Institute) and knowledge of Labour Code of Azerbaijan Republic
  • 1-2 years’ work experience in a similar field of activity 
  • Experience of a flexible approach to managing and prioritizing a high workload and multiple tasks in a fast-paced environment with tight deadlines
  • Very good knowledge of spoken and written English and Azerbaijani; Russian is an asset
  • Very good computer skills (Word, Excel, Databases)
  • Good rigor, method, and analytical skills
  • Treat information confidentially and strictly meeting the deadlines
  • Very good administration skills and accuracy in documentation
  • Good knowledge and experience on working in E-gov system in terms of labour relations.
