Responsibilities:

  • Manage vendor relationships and agreements for office equipment, furniture; manage layout and accommodation of the office;
  • Manage all required administrative services such as Event and Procurement Coordination;
  • Responsible for office cost management: monitor budget variances and effectively control costs including those related to admin personnel management, materials, supplies, space and equipment;
  • Manage the maintenance of facilities and all engineering systems, communicate with landlord;
  • Manage reception and vendors like cleaning, coffee lady, engineers;
  • Additional administrative responsibilities as required;
  • Receive invoices from vendors, review, record using the accounting software and standard company process to document purchases;
  • Paying vendor by scheduling pay run and ensuring payment is received for outstanding credit;
  • Perform the day to day processing of accounts payable transaction to ensure that records are maintained in an effective, up to date and accurate manner;
  • Receive, verify and records employee expense reports;
  • Keeping track of the budget, payments, and expenditures, including purchase orders, invoices statement, etc.
  • Maintains accounting ledgers, track expenses, prepare analyses of accounts and related financial activity to produce monthly finance report; responsible for tax liabilities;
  • Maintain historical records and filing documentation to ensure easily available information;
  • Perform other related duties as required

Requirements (EXPERIENCE & QUALIFICATIONS):

  • University Degree
  • At least 3 years of work experience in relevant position in an international company
  • Proficiency in English, Azerbaijani is a must (Russian is an advantage);  
  • Understanding of payments, accounting & budgeting process
  • Ability to work independently and as part of a team
  • Strong problem-solving skills, attention to details and work ethics
  • Excellent verbal, written and interpersonal communications skills
