Job Responsibilities:

Operational Responsibilities
• Open new jobs in finance system, prepare cost report template for any new projects
• Prepare job sheets when required for client approval
• Update and monitor the costs on each project and provide reports on status of costs on projects to Divisional Manager and other parties
• Interface with Finance Division and forward backup documentation such as job sheets & vendor invoices to allow timely invoices preparation
• Check and approve invoices received prior to be issued to client
• Ensure invoices received from Finance Division are updated on individual cost sheets and stored in the relevant job file
• Provide input and support client with cost reports as required
• Check weekly job sheets for accuracy and reference codes
• Provide timely and accurate cost control support, inputs, and analysis
• Provide assistance in monitoring Contracts/ PO reporting and actual Engineering monthly spent
• Track all contractual commitments and expenditures against them and monitor contract status
• Analyse actual Project budget without overspent, forecast expenditures and make accruals for month end Divisional reports
• Provide support to Account Payable team to avoid overdue invoices and avoid unwanted credit notes
• Support client engineering and accounting teams with Commercial/ Financial information as required. Liaise with AM (Account Manager) on various invoice and contract issues

Administrative Responsibilities
• Complete all required information on required documentation in accordance with IMA-Energy procedures and client specific requirements
• Co-ordinate all work activities of the team to ensure safe and efficient completion of required work activities in accordance with IMA-Energy procedures and client specific requirements
• To be a team member and actively promote communication and information sharing and culture of continuous improvement

HSEQ Responsibilities:
Responsible for complying with the requirements of the QA and HSE Management System through working in accordance with all relevant, Procedures, Working Instructions, Workplace Precautions and controls mentioned in the Risk Assessments. In addition the incumbent is responsible for:
• Understanding and being familiar with the QA Policy and HSE Policies
• Complying with the requirements of the company or client QA and HSE Management System, policies, standards and procedures, not taking shortcuts
• Planning all jobs with safety as a priority
• Fully participating in the risk assessment process and complying with all relevant control measures
• Ensuring that they understand and implement the requirements of all Procedures, Working Instructions and Workplace Precautions that are relevant to their job
• Challenging unsafe acts and conditions which could affect personal safety or well being
• Intervening and not tolerating unsafe acts by others regardless of status
• Reporting any accident, incident, near miss or any unsafe condition promptly to their line manager
• Ensuring they keep aware of the actions required in the event of an emergency and knowing the emergency routes and equipment
• Keeping their respective work sites clean and tidy
• Attending and participating in HSEQ Meetings and Training sessions

HR and Continuous Improvement Responsibilities:
• Adherence to the procedures as laid down by the Human Resource Management System and to take an active part in the Performance Management Process and the Competence / Training Programme.
• To be a “team player” and supporting a culture of continuous improvement.
• To put forward suggestions for improvements and carry through agreed actions.

Interfaces (Internal/External):

Finance, Procurement, Electrical Engineers, Supervisors, Project managers and all other E&I personnel
HRC, Estimators, Superintendents,
Client representatives

Qualifications:

Essential:
Degree level financial qualification or 5-7 years relevant experience

Experience Required:

Essential:
Minimum 5 years of cost control or relevant experience

Excellent written and verbal communication skills in English, Azerbaijani and Russian; Strong analytical & research skills; innovative & creative thinking; ability to work autonomously; competitive analysis; good planning, organizing and systematic approach skills;;
