Job Title: Executive Assistant to General Manager

We are currently looking for an experienced candidate to fulfill the Executive Assistant position.

General Purpose

Provide personal administrative support and assistance to General Manager.

Main Job Duties and Responsibilities

• To provide high-level support to the General Manager;
• To work closely and effectively with the Manager to keep him well informed of upcoming commitments and responsibilities;
• Proactively assist in managing Manager’s work schedule, ensuring regular catch-up meetings to review and update on diary commitments and key priorities both with internal and external contacts, exercising a high level of judgment on priorities
• Prepare and edit correspondence, communications, presentations and other documents
• File and retrieve documents and reference materials
• Conduct research, collect and analyse data to prepare reports and documents
• Manage and maintain executives' schedules, appointments and travel arrangements
• Arrange and co-ordinate meetings and events
• Record, transcribe and distribute minutes of meetings
• Monitor, screen, respond to and distribute incoming communications
• Answer and manage incoming calls
• Receive and interact with incoming visitors
• Liaise with internal staff at all levels
• Co-ordinate project-based work
• Review operating practices and implement improvements where necessary

Requirements:

1. Work experience in Administration/Executive Assistant/PA role;
2. Excellent oral and written communication skills in Azerbaijani, English and Russian;
3. Excellent interpersonal and communication skills;
4. Excellent organizational skills, ability to multi-task and organize others;
5. Ability to develop and maintain good working relationships at all levels, including during difficult or challenging circumstances;

Education and Experience

• High school diploma required
• At least 3 years experience in Economics and Logistics and in providing support at a high level
• Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
• Knowledge of standard office administrative practices and procedures
