Executive Assistant

Responsibilities:

• Managing partner’s calendars and set up meetings;
• Arranging travel and accommodation issues;
• Managing information flow in a timely and accurate manner;
• Acting as an office manager by keeping up with office supply inventory;
• Taking dictation and minutes and writing them up subsequently;
• Helping preparation of meetings;
• Formatting information for internal and external communication – memos, emails, presentations, reports;
• Preparing reports, memos, letters and other documents;
• Answering phones and routine calls to the correct person and/or taking messages;
• Handling basic correspondence tasks;
• Researching and conducting data to prepare documents for review by partner;
• Greeting visitors and deciding if they should be able to meet with partner;
• Reading and analyzing incoming memos, submissions and distributing them as needed;
• Performing office duties that include ordering supplies and managing a records database
• Overseeing the performance of other clerical staff;
• Providing general administrative support.

Requirements:

• Excellent English and Azerbaijani language skills, spoken, written, translation and interpretation, advanced Russian is preferable;
• Ability to multitask and prioritise tasks;
• In-depth understanding of entire MS Office suite;
• Ability to organize a daily workload by priorities;
• To be able to meet deadlines in a fast-paced quickly changing environment;
• A proactive approach to problem-solving with strong decision-making skills.

Salary: 3000 AZN (NET)
