Summary:

Provides personal administrative support to the General Manager. Duties include general clerical, receptionist and project based work. Project a professional company image through in-person and phone interaction.

Main Duties:

• Management of the GM’s diary and appointments.
• Help GM manage output, workflow and office deadlines.
• Takes and relays accurate and timely messages from telephone callers and answer queries where possible dealings with Government, VIP’s, CEO’s, etc.
• Supports in delivering presentations, financials, strategic plans with the GM.
• Takes minutes for all meetings and follow-ups with action planning and delivery.
• Drafts, types and dispatches all the GM’s correspondence.
• Liaises with the relevant individuals, external organizations, etc to arrange meetings, prepare agendas and draft minutes.
• Maintains a comprehensive filing system.
• Arranges local transportation when necessary.
• Responds to and/or resolves any comments from guests.
• Tabulates and retrieves GM’s official expenditures and claims.
• Co-ordinates GM’s travel.
• Prepares and dispatches reports, projects, guest feedback, etc as required.
• Some media relations, research and promotional work.
• Co-ordinates any travel, lodging and meeting arrangements for the Owners or ABSHERON Hotel Group visitors.
• Guest Voice management.
• Monthly financial reporting coordination from departments, draft monthly report and completing reports by 6th working day after month end.
• Supports on new projects relating to all functions which can include but is not exclusive to; procurement, pre-opening budgets, manning guides, design and administration planning.
• Undertakes any other duties as requested by the GM.

Skills and Qualifications:

• 1 year of relevant experience or similar supervisory role, or an equivalent combination of education and work-related experience.
• Proficiency in Azerbaijani, English and Russian, any additional language is preferable.
• Strong Communication skills (verbal, listening, writing).
• Attention to detail.
• Innovative, pro-active and reliable.
• Ability to handle multiple tasks.
• Proven ability to work under pressure and meet multiple tight deadlines.
• Flexible and possess initiative to see all assignments and projects through to completion unsupervised.
