Job Summary:

The Receptionist performs administrative and secretarial support for office employees with the purpose of ensuring high quality work.

Roles and Responsibilities:

Administrative Duties:
• Reserving conference rooms at employees’ instruction.
• Meeting employer’s clients in a professional manner (includes offering them coffee or tea, etc., offering other assistance).
• Taking telephone calls, recording and delivering their content to office employees, taking and sending information by fax and e-mail, in a timely fashion bringing to the attention of employee’s information obtained through communications channels, putting together clear and informative messages on calls received during employees’ absence (date, time of call, name of company, name and phone number of the calling person, purpose of call).
• Regularly updating lists of internal and home phone numbers of employees.
• Working with intra-office computer programs.
• Ordering cars through the office order system at the request of employees.
• Rendering assistance to colleagues when necessary.
• Providing notes on addresses, phone numbers, etc.
• Other duties pertaining to administrative support of the office employees.

Working with Correspondence and Documents:
• Accepting correspondence coming to the Representative Office, reviewing and sorting all incoming correspondence, registering it if needed and sending it on to its intended destination:
• Registering correspondence and sending it on to its intended destination.
• If necessary, rendering assistance to employees working on documents.
• Copying documents on a copier, necessarily checking the number and consistent order of pages in the documents.
• Sending and receiving faxes; when sending messages by fax – checking the reports on whether all sheets of the message and attached documents have gone through.
• Other duties pertaining to processing and preparing correspondence and documents.

Reporting for Work:

To guarantee a high level of service to Company clients and facilitate the creation of an atmosphere of effective and productive work, each receptionist must be at the workplace no later than the time indicated in his/her schedule. The receptionists’ work schedule is compiled each month by the Administrative Department.
