Tendering Specialist

Responsibilities:

• Receiving inquiries by email, via CRM or from Sales and registering them in register
• Saving all related documentation to the job file
• Review of RFQ and search / identification of suppliers
• Preparing and sending outgoing RFQs to suppliers, expediting inquires
• Receives, logs and reviews supplier’s offers, prepares comparison sheet
• Reviews incoterms and delivery costs
• Prepares costing sheet
• Reviews suppliers T&Cs of sale, our T&Cs of purchase
• Reviews customer T&Cs of purchase and our T&Cs of sale and ensures all managerial approvals and compliance to commercial and legal guidelines
• Makes sure that all tax implications are accounted for
• Ensures that new customers are registered timely
• Assists or does supplier registration
• Creating quotation in Movex and quote to the customer as per Sales & Tendering procedure.
• Expedite quotation, customer PO and delivery, meets the deadlines in all areas from inquiry to delivery.
• Negotiates with suppliers favorable commercial terms, delivery and price
• Accept PO and create CO and WO lines, issues order confirmation
• Participating in tenders ( Ariba quotes and other events )
• Manage Movex work orders, open and closing.
• Customer communication and updates
• Communicate with workshop for creation of quotes for service related jobs
• 3rd party service RFQs and quotations management
• Expediting customers’ orders 
• Liaise with finance on closed jobs for invoicing on time
• Ensure closing orders in the system for invoicing ( GRN in Movex ) on time
• Supervise and ensure customer on time delivery
• Contacts new or existing customers regarding inquires or quotations – phone calls, emails
• Achievement of Department KPIs
• Takes part in working on large tenders
• Timely job processing in CRM system

Requirements:

Education and/or Experience: University degree, preferably in Economy, Finance or Mechanical Engineering, with minimum 5 years related experience and/or training; or equivalent combination of education and experience.
Product Knowledge: Oil & Gas industry experience would be an advantage

Salary: 1000-1300 AZN Net
