Position: Receptionist 
 
Main Requirements to Candidate:
 
• Standard grade education
• Computer literate with Microsoft packages
• Working knowledge of providing secretarial / administration support in an office environment.
• Familiar with office equipment i.e. fax, photocopier
• Good written and verbal English, speaking Russian
• Organizational skills
• Ability to work to deadline
• Teamwork and partnering
• Flexibility
• Self-motivated and ability to work unsupervised
• Should be friendly with an outgoing personality
• Business Administration qualification
• Work experience in administration/reception
• Willingness to learn quickly and continually improve the available knowledge and skills.
 
Main Responsibilities:
 
• To receive all incoming calls in a professional and timely manner and re-direct to the correct extension, whilst keeping the caller informed at all times.
• To make photocopying, scanning of documents, if requested.
• To order lunch for the office staff and visitors.
• Responsible for completion of Driver’s Log Book and coordination of office drivers.
• Ensuring completion of Visitors Log Book.
• Inventory Registration on monthly basis.
• Process all incoming and outgoing mail.
• Responsible for distributing incoming faxes.
• Ensure stationery and tea/coffee stocks are kept at min / max levels as agreed by Management and order on a monthly basis replenishing the stock.  Ensure levels are monitored and amended with approval from Management as and when required. Distribution when required. 
• Ensure vendors for stationary and household supply orders are chosen based on Procurement & Logistics Procedures in terms of cost, quality and service.
• Ensure Purchase Orders are issued and closed at the end of each month for each PL for all stationary purchases done during the month period based on signed and provided delivery notes.
