Job Title: Personal and Research Assistant

Location: Yarat Center

Reports to: Artistic and Strategic Director

Key Accountabilities

PA to fulfil 30% of position responsibilities:
1. Full administrative support and coordination of activities and communication with internal and external personnel / organisations.
2. Arranging internal and external meetings.
3. Manage contacts database, including liaising with the contacts and sending out invitations and running general correspondence on behalf of Director.
4. Draft general letters, emails and other correspondence upon request of the director.
5. Take responsibility for all correspondence on behalf of the Director, answering  email enquiries and resolving resulting issues as appropriate.
6. Liaise with members of the Yarat team and act as central contact point.
7. Minute meetings and distribute notes and follow up with actions.
8. Getting sign offs and confirmations from the director for various decisions, including documents, visuals, texts etc.
9. Assist to arrange and organize visa, flight tickets, hotel bookings, transportation and etc.
10. Consequent translation for Artistic Director

Research Assistant to fulfil 70% of position responsibilities:
11. Communicate with partners in other countries
12. Prepare reports with research results
13. Making wide research for upcoming projects
14. Assisting and coordinating various projects when necessary and required.
15. Consequent translation for Artistic Director

Knowledge, experience and qualifications required

• Strong administrative experience.
• Meticulous attention to detail and high level of self-organization. 
• Knowledge of protocol and etiquette.
• Event management skills managing rsvps etc.
• The ability to communicate effectively at all levels, both verbally and in writing.
• The ability to work flexibly in a rapidly developing organization.
• Personal Interest in arts and cultural sector.
• Patience and ability to work long hours when necessary.
• Proficiency in Azerbaijani, Russian and English
