Job Title: “Office Administrative and Personal Assistant”.

Our company is international company based on UK (United Kingdom). We need to recruit “Office administrative and personal Assistant” who should be fully familiar that job and has working experience in this position.

Responsibilities:

1. To provide a high level of support to the Director;
2. To work closely and effectively with the Director to keep him well informed of upcoming commitments and responsibilities, following up appropriately;
3. To provide a bridge for smooth communication between the Director and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff;
4. To organize travel, meetings and events for the director as required;
5. To undertake proactive e-mail management, ensuring that urgent emails are promptly picked up, responded to as appropriate;
6. To ensure a high standard of administration and provide guidance as appropriate on the production of internal and external documents;
7. Secretarial duties: typing, preparing documents, organizing files. Where required provide support to ensure are of an appropriately high standard, including proofreading the document, checking spelling, grammar, sense, amendments and presentation.
8. Devising and maintaining office systems, including data management and filing;
9. Screening phone calls, enquiries and requests, and handling them when appropriate;
10. Meeting and greeting visitors at all levels of seniority;
11. Dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
12. Producing documents, briefing papers, reports and presentations;
13. To provide a high level of support to the training team and office employees;
14. To translate in during course (English to Azeri) if requested or necessary.
15. To work closely and effectively with the training team to keep team well informed of upcoming commitments and responsibilities, following up appropriately;
16. To purchase stationary and other consumables / materials related to training courses.
17. To provide a bridge for smooth communication between the training team/ clients and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff;
18. Typing, preparing documents, organizing files. Where required provide support to ensure are of an appropriately high standard, including proofreading the document, checking spelling, grammar, sense, amendments and presentation.
19. To answer respond client’s requests, register in the income and outcome tables.
20. To print up course notes, appendix, etc., using out-sources for printing
21. To provide catering services for tea break times, lunch time and office requests (order water, etc.).
22. Timely calls to candidates for collecting their certificates.
23. To arrange cleaning training room & corridor during courses in break time by cleaning lady.
24. To keep an order in training rooms during courses.
25. To prepare course materials. To print courses material, appendixes, and other prints are requested by lecturer in office.

Required skills and experience:

1. Professional experience of 3-5 years working as Assistant.
2. Demonstrable experience in an administration/executive assistant/PA role;
3. Full time employee.
4. University degree;
5. Fully familiar with computer, word, excel, PowerPoint, outlook and internet.
6.  Excellent oral and written communications skills in English, Russian and Azerbaijani languages.
7. Will be entrance computer and languages exams (specking, Writing and reading).
8. Maximum age is 32 years old.
9. Excellent inter-personal and communication skills;
10. Excellent organizational skills, ability to multi-task and organize others;
11. Excellent oral and written communication skills and ability to professionally represent the director;
12. Ability to develop and maintain good working relationships at all levels, including during difficult or challenging circumstances;
13. Salary is negotiable.
