Client Services Manager

Purpose
 
The accommodation team is responsible for securing the accommodation for the Games families, dignitaries, marketing partners, press, broadcasters, NOC’s and sporting federations consisting of some 10 000 rooms per night.
Reporting to the Senior Client Services Manager, the Games Family Hotel Team Leader will lead on client allocation, issue resolution and the day to management of this important client group.  You will represent the Accommodation interests in all venue planning and work within the parameters of the hotel contract.

Key accountabilities
 
• Be the first point of contact for all Olympic Family accommodation enquires
• Manage and develop a good working knowledge of accommodation obligations and processes
• Assist with the OFH Operational planning process
• Develop all necessary supporting documentation, including Venue Operations Manuals for the Games Family Hotel
• Work with the reservations team to ensure invoices are sent to respective client groups and the system finance details are kept up to date
• Handle internal booking enquiries
• Prepare and conduct internal and external presentations
• Liaise with arrivals & departures at Games Time
• Management of accommodation
• Manage the accommodation/arrivals & departures desk in the Games Family Hotel
• Assist with test events including the Chefs de Mission seminar
• Any other duties commensurate with job role

Knowledge, experience and qualifications required

• Previous knowledge of hotel event management
• Hotel reservation or group booking experience advantageous
• Previous management or supervisory experience
• Ability to manage and motivate a team
• Experience of working on multifaceted projects, demonstrating good attention to detail in all aspects of work
• Experience of organising major sports events an advantage
• Ability to build working relationships with other departments and to communicate effectively
• Experience with dealing with multiple stakeholders
• Experience of managing administrative processes
• Experience of working in a busy office environment
• Fluent written and spoken English
• Excellent communication skills

o An ability to solve problems under pressure
o Team player who can work on their own initiative
