Under the overall supervision of the Chief of Mission (CoM) and direct supervision of the Senior Resource Management Coordinator, the successful candidate will be responsible for the following:

Responsibilities:

  • Type, format and draft routine correspondence; collate tables, reports, presentations, publications, and other documentation including Human Resources-related;
  • Receive, screen and direct telephone calls and visitors; respond to routine internal and external enquiries and/or refer to appropriate contacts /units;
  • Set up and maintain office files and reference systems according to standard procedures including personnel files of staff, instructions, bulletins and other documents;
  • Assist with the organization and administration of meetings, workshops and events (e.g. arranging for meeting rooms and other facilities.
  • Assist with arranging for travels: organize transport, logistics, accommodation, documents; 
  • Ensure availability of office supplies and appropriate maintenance of office equipment; 
  • Perform other duties as required.
  • Provide clerical assistance for the smooth running of the Human Resources processes and activities in the office.
  • Provide general assistance in recruitment processes including but not limited to circulation of vacancy announcements, interview arrangements, preparation of materials necessary for the interviews and technical test, support with reference checks, sending out messages to candidates, etc.
  • Perform assigned role(s) in PRISM HR, paying special attention to data consistency and accuracy; input and maintain data based on approvals and supporting documentation; generate reports, contract extensions, personnel actions and other related documentation.
  • Initiate, view and track a variety of administrative transactions in the computerized financial / travel / human resources systems; 
  • Support the organization of publicity /outreach activities, knowledge sharing events and promotional opportunities as well as information dissemination by upgrading the quality and use of existing media/information platforms;

Qualifications:

Education

  • High school diploma with three years of relevant experience; or,
  • Bachelor’s degree in Business Administration or related fields from an accredited institution with one year of relevant professional experience

Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience

  • Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook; 
  • Attention to detail, ability to organize paperwork in a methodical way; 
  • Discreet, details and clients-oriented, patient and willingness to learn new things; and, 
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage. 

Skills

  • Knowledge of protocol
  • Strong organizational, facilitation, communication skills 
  • Effective and professional work with vendors and service provider

Languages

  • For this position, fluency in English and Azerbaijani is required (oral and written).

IOM’s official languages are English, French and Spanish.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
