Job Description

The representative office of Foreign Company in Baku is looking for a Personal Assistant to the Manager.             

It is important for us to build long-term cooperation with a punctual and purposeful employee.

Business tasks:

  • Preparation of documents and presentations.
  • Participation in meetings, keeping minutes of meetings, monitoring assigned tasks and deadlines for their completion.
  • Working with tables in MS Excel.
  • Maintaining a register of the library, documentation, art objects.
  • Communication and working interaction with government officials, business partners, employees, contractors.

Schedule administration:

  • Maintaining the manager's schedule and calendar.
  • Planning meetings, trips, coordinating changes.
  • Reminders for upcoming events (business meetings, birthdays, etc.).

Personal tasks:

  • Coordination of everyday issues of the manager and his family members.
  • Issues of health, sports, hobbies, personal finances.
  • Organizing the delivery of letters, furniture, art objects.
  • Organizing trips, booking transport, purchasing tickets.

Expectations from the candidate:

  • At least 3 years of experience working as a personal assistant, secretary or concierge.
  • Willingness to work irregular hours.
  • Higher education.
  • Knowledge of Russian and English languages.
  • Knowledge of Microsoft Office: Word, Excel, PowerPoint, Teams.
  • Ability to store confidential information, diplomatic communication skills.
  • Punctuality and attention to detail.
  • Discipline and systematic approach to work.
