Procurement and logistics specialist

Duties and functions

• Preparing of procurement orders;
• Preparing of monthly expense forecast;
• Responsible for preparation of cash flow statement Sending inquiries to local / abroad suppliers
• Follow up to get quote from local / abroad suppliers
• After receipt quote follow up for technical clarification with engineers
• Preparation of comparison sheets
• Preparation of POs
• Taking approvals of POs
• Scanning of POs
• Copy and sort out of POs
• Follow up for delivery / collection of materials from local suppliers
• Checking of docs from local suppliers
• Follow up for docs of received / collected materials from local suppliers
• Checking of prices in the local market
• Procurement of materials from market
• Preparation of expense claims for local / abroad purchase
• Follow up for receipts of purchase t materials from local suppliers
• Follow up for GRN of purchase  materials from local suppliers
• Follow up for Act of purchase materials from local suppliers
• Preparation of advance reports
• Taking approvals of advance reports 
• Checking of stock against customer’s inquiry
• Sourcing of required materials from different abroad suppliers
• Preparation of costing sheets
• Follow up to get Order Confirmation from abroad suppliers
• Negotiations regarding payment (credit time instead of advance) & delivery terms with suppliers 
• Follow up for advance payment to supplier
• Follow up for readiness of materials 
• Follow up for docs to be accompanied the shipment from abroad supplier (certificate, invoice, packing list, country of origin, etc)
• Arrangement of delivery of sourced materials
• Sending inquiries to freight forwarders
• Follow up to get quote from freight forwarders
• After receipt quote from freight forwarder comparing price and delivery time
• Preparation PO for transportation
• Follow up for collection of materials from abroad suppliers
• Follow up status of shipments in transit
• After arrival of the shipment follow up for customs clearance
• Preparation of contract and appendix with suppliers
• Follow up for delivery of materials to client 
• Permanent contact & correspondence with supplier
• Sort out of suppliers docs – filing, archiving 
• Conduct business in accordance with the company’s stated mission, vision, and values.

Requirements

• Higher education
• At least 3 (three) years’ experience in the field of procurement and logistics
• Language skills: Azerbaijani- native, English-intermediate, Russian-intermediate.
• Computer skills:  Microsoft Office, İnternet Explorer,
• Ability to work in a high performing work environment;
