EnerMech’s Cranes & Lifting division offers a professional and competitive service in all areas of offshore crane and lifting operations. We provide specialist services in the operation, inspection and maintenance of cranes & associated lifting equipment, and lifting related equipment, as well as design, engineering and management of onshore & offshore crane projects.

At the moment Enermech Baku is looking to recruit the Tendering Coordinator.

Job purpose:

• The Tendering Coordinator role is primarily responsible for drafting, co-ordinating and managing the company’s responses to client enquiries and Invitation to Tender’s (ITT’s), ensuring the tender instructions are followed and the proposals submitted on time in the prescribed format in line with the approval matrix.
• Support the Business Line in ensuring tenders and proposals submitted are technically compliant and commercially competitive.
• Ensure that all proposal submitted follows the tendering process and the approval matrix.
• Manage the P&L spreadsheet ensuring that the correct costing and revenue are captured to ensure profitability of projects.
• Manage the process in working with Contracts Dept (UK) to carry out the review of client terms and conditions, ensuring the company’s risks are minimised to as low as possible, in line with the contracting principals.
• Demonstrate and promote a safe working culture, encouraging all team members to actively participate in the company’s QHSE initiatives and topics to continually improve the behaviours, and intervening in any unsafe acts or practices witnessed.
• The Tendering and Coordinator may be called upon to undertake other duties at the request of their manager.
• Coordinate the process of prequalification with new client

Job responsibilities

• Take receipt of and review ITT’s and client enquires, logging them in the system
• Initiate review with the business lines to ensure scope within the capabilities of the company and there is suitable capacity to execute
• Agree responsible person and timeline for each element of the tender / enquiry, and they are clear of requirements and time frames
• Coordinate the tender process ensuring compliance with specific requirements and clarifications submitted in the prescribed format.  Ensure target dates are complied with for responses to client
• Coordinate the review of contract terms and conditions with Contracts Team (UK).
• Identify with the business lines any specialist / third party requirements and engage supply chain / procurement for receiving quotations/proposals.  Review responses for suitability.
• Co-ordinate the completion of tender response document and appropriate review prior to submission
• Release of received works into the Engineering and Project Departments of the company.
• Refer to Authority Matrix for approval levels of tenders and quotes and provide prior notice of pending approval requirements to allow planning around travel arrangements and/or delegation of authority
• Following a contract award, arrange a handover / kick off meeting with the operations team, including any relevant support functions.
• Continually review and update working processes and procedures
• Alignment across all business lines on reporting of tender activity including win rates and values

Qualifications:
           
Desired

• HNC/HND in Quality Surveying, an Engineering discipline or Law & Contracts Management
• Minimum 5 years of experience in a contracts or proposals role, or an engineering discipline function involved in producing cost estimates or proposals
• Experience in Pipeline and Process Services: Nitrogen & Helium Leak Detection, Pipe Freezing, Chemical Cleaning, High Pressure Water, Jetting, Hot Oil Flushing, Hydraulic Bolt Torquing & Tensioning, Valve Testing etc.

Required Experience:

• Candidates shall have good communication skills and have self-confidence, such they can deal with pressure situations. • Experience with using computer operating software.
• Able to adopt the concept of continuous improvement
• Ability to learn and follow processes, procedures and company specific systems
• Competent computer skills (Microsoft office )
• Analytical and mathematical skill associated with cost preparation.
• Ability to communicate with clients/client's representatives.
• Able to respond to the demands of a high and varied workload.
• Work as part of a team.
