Azerbaijan will be hosting Grand Prix in 2016 and as a part of this big sport event is urgently looking for Office Administrator.

The successful candidates should have:

• Working knowledge of general office procedures plus ability to organize and coordinate group work efforts required
• Wide knowledge of Microsoft Word, PowerPoint, Outlook  and Excel software, Internet search
• Proficient research, supervisory and communication, organizational, negotiation skills
• Proficiency in communication in Azerbaijani, English & Russian languages

The successful candidate will be responsible for carrying out the following activities:

• Responsible for organizing and coordinating of office operations and procedures in order to ensure organizational effectiveness and efficiency
• Oversee and/or process day-to-day administrative items (expense reports, supply requisitions)
• Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement
• Ensure proper and timely office movement
• Design and implement office policies
• Establish standards and procedures

Organize office operations and procedures

• Support and maintenance of company’s IT systems and provision an efficient desktop support to all business users
• Coordinate and supervise clerical/secretarial support function for assigned group.  Schedule and assign work, etc
• Coordinate the transportation schedule
• Conduct the weekly meetings with drivers
• Organize team building and social events
• Responsible for the provision of expats accommodation
• Liaison with landlords resolving issues occur
• Manage personal expenses for site team
• Responsible for the procurement  of office supplies, mobile phones
• Maintains supplies by checking stock to determine inventory levels of stationary, kitchen and cleaning supplies; anticipating requirements; placing and expediting orders; verifying receipt; stocking items. Monitor the use of supplies and office equipment
• Arrangement, control over company mobile phones. Responsible for maintaining mobile phone register in line with

Company Mobile Policy

• Overall responsibility for the practical organization of the day to day cleaning operation. Check on a daily basis that all areas of office are cleaned to a satisfactory standard. Maintain cleaning staff attendance logs and timesheets
