Azerbaijan will be hosting Grand Prix in 2016 and as a part of this big sport event is urgently looking for Executive Assistant
The successful candidates should have:
• Excellent organizational, communication and negotiation skills
• Strong interpersonal skills
• A minimum of 2 years of relevant experience
• University degree or equivalent qualification
• Proficiency in use of Microsoft office (Outlook, Excel, Word, Power Point) tools
• Professional level of Azerbaijani, English and Russian languages
The successful candidate will be responsible for carrying out the following activities:
Manage the Workload of CEO and follows up external and internal meetings
Create and manage the CEO’s filing system
Be responsible of the CEO Calendar & daily agenda
Arranges travel schedules and reservations for the CEO and his guests
Provides admin support to the CEO
Submission of the documents to be signed by CEO
Document Control:
Be responsible for External log file (all external documents)
Coordinate between departments and play the role of document controller for all documents submitted to the CEO (adhering to the company procedures and policies)
Responsible for CEO business expense reports
Controlling and supervising the internal signature flow (collecting of signatures), accurately keeping the contracts register log;
Adhere of oral and written instructions assigned by the line manager and to the internal regulations of company and to the labour functions.
Fulfillment of the works in compliance with the procedures and instructions.
Maintain of confidentiality of the corporate data and all company’s related passwords.
Preparation of the corresponding reports regarding responsible working areas.
Meeting the requirements of the internal customers.
İmprovement of the existing systems.
