Reports to Head of City Look and Venue

Background and Purpose of the Role

As the host of the Baku 2015 1st European Games there will attention on Baku and Azerbaijan not yet seen. The Games will provide Baku with a unique opportunity to create a visual identity and ‘Look’ that showcases the City and the nation. IVT is responsible for delivering the Baku 2015 Look to the City, Venues, Airports and Transport Hubs as well as any City Look required for Pre Games Campaigns and Test Events.
The City Look Manager will be responsible for the planning, application, operations and implementation of the City Games time ‘Look’, across the City. Part of this role would be to ensure the program is delivered on time and within budget.

Key Responsibilities

• Conduct business documents between BEGOC, IVT, contractor, suppliers.
• Liaise with Brand to understand the creative and technical elements of a Kit of Parts (KOP) for all Look elements and design of custom elements.
• Participation at the meetings.
• Monitor the process.
• Determine branding opportunities across City, Last Mile, Airports and Transport Hubs.
• Ensure the Baku 2015 1st European Games visual identity is applied in a uniform and consistent way across all City precincts.
• Ensure the Look Kit of Parts (KOP) and custom elements are strategically positioned at all City, Last Mile, Airport and Transport hubs. 
• Manage the development of an inventory management system to ensure all City Look elements are captured and collated.
• Manage commission prototypes to be produced and oversee production of all City Look elements.
• Determine warehouse facilities to stage, store and dispatch all City Look elements if required.
• Oversee management of permissions and taxes for placement of Look on public spaces/areas.
• Liaise, negotiate and build strong relationships with all functional areas and external partners connected with the final execution and implementation.
• Develop policies and procedures across all deliverables.
• Work closely with Look supplier to ensure timelines are met and quality control mechanism are in place.
• To train and develop both full and part time staff ensuring they meet their full potential.
• To encourage all staff to contribute to reaching stretching targets.
• Manage staff, preparing work schedules and assigning specific duties.
• Establish and implement departmental policies, goals, objectives, and procedures, conferring with board members, organization officials, and staff members as necessary.
• Oversee activities directly related to making products or providing services.
• Determine staffing requirements, and interview, hire and train new employees, or oversee those personnel processes.
• Review financial statements, sales and activity reports, and other performance data to measure productivity and goal achievement and to determine areas needing cost reduction and program improvement.
• Plan and direct activities such as sales promotions, coordinating with other department heads as required.
• Direct and coordinate activities of businesses or departments concerned with the production, pricing, sales, or distribution of products.
• Direct non-merchandising departments of businesses, such as advertising or purchasing.
• Monitor businesses and agencies to ensure that they efficiently and effectively provide needed services while staying within budgetary limits.
• Develop or implement product-marketing strategies, including advertising campaigns or sales promotions.
• Locate, select, and procure merchandise for resale, representing management in purchase negotiations.
• Perform sales floor work, such as greeting or assisting customers, stocking shelves, or taking inventory.
• Manage the movement of goods into and out of production facilities.
• Recommend locations for new facilities or oversee the remodeling or renovating of current facilities.
• Plan store layouts or design displays.
• Maintained a master schedule of events, meetings and receptions at venue.
• Developed and managed the master budget for venue maintenance and services.
• Assisted with correspondence for all participants, guests, vendors and staff.
• Supported the Head of Look and Venue as needed.
• Supervised and coordinated activities of the Theater staff.
• Oversaw activities directly related to making products or providing services.
• Maintained functional venue and coordinated array of event management activities.
• Handled room bookings and event schedules and arranged for printed material, brochures and signage’s.
• Created database of performers, artists and sponsors as well as kept records of facility users, tenants and hirers.
• Prepared business proposals for logistic vendors and suppliers.
• Coordinated travel arrangements and business meetings and made event reports.
Conducted fundraisers to secure funds for station activities and processed event payments.
• Create daily / weekly reports.

Experience & Core Skills Required

• 8 - 10+ years’ experience in a related field.
• Extensive experience in managing and executing large scale international event branding projects across City or multiple venues.
• Demonstrate a solid understanding on how to create, manage and execute a sporting event’s visual identity across a City or venues.
• Proven track record managing complex projects and multi-million dollar budgets.
• Proven ability to develop plans and deliverables that meet joint objectives with other stakeholders.
• Must demonstrate a track record of delivering under high pressure and demanding operational environments.
• Proven ability to liaise and negotiate with key decision makers both internally and externally within a large organization.
• Previous experience compiling tenders and negotiating and managing third party suppliers.
• Proven ability to recruit, manage and motivate a creative and operational team.

Qualifications Required

• Ideally a degree in Project Management, Sports Marketing, Event Management or Visual Communications.
