HSE Administrator / Assistant to HSE Manager

Key Responsibilities:

  • Provide daily administrative and operational support to the HSE Department.
  • Maintain and update HSE records, reports, and documentation in compliance with company policies and ISO 45001 standards.
  • Assist in preparation of incident, near-miss, and hazard reports; ensure proper filing and follow-up on corrective actions.
  • Participate in HSE meetings, take minutes, and track action items to ensure timely closure.
  • Support HSE audits and inspections — prepare documentation, follow up on findings, and assist with corrective action plans.
  • Assist in developing and implementing Health, Safety, and Environmental (HSE) policies, procedures, and programs.
  • Coordinate internal and external HSE training sessions, maintain training attendance and certification records.
  • Prepare monthly HSE performance reports, including key performance indicators (KPIs), trends, and analysis.
  • Maintain HSE communication boards, safety alerts, and awareness materials at the workplace.
  • Ensure that all contractors and visitors comply with company safety rules and procedures.
  • Provide administrative assistance in risk assessments, safety briefings, and toolbox talks.
  • Support emergency response planning, drills, and recordkeeping.
  • Liaise with HR, operations, and contractors to ensure alignment of HSE practices across departments.
  • Monitor the use and maintenance of personal protective equipment (PPE) and report shortages or issues.

Requirements:

  • Bachelor’s degree in Occupational Health & Safety, Environmental Science, Engineering, or a related field.
  • Minimum 1–2 years of experience in an HSE role, preferably in an administrative or assistant capacity.
  • Good understanding of ISO 45001 and occupational health and safety management systems.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and familiarity with HSE documentation systems.
  • Strong organizational and reporting skills with high attention to detail.
  • Effective communication skills in Azerbaijani and English (Russian is an advantage).
  • Ability to multitask and work collaboratively in a dynamic environment.
