ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Welcoming, receiving, signing in and dealing with and directing staff, pupils, parents and school visitors as appropriate
  • Greet visitors, provide them with relevant information, and ensure that they are directed to the correct location within the school. 
  •  Providing support to the school’s administrative function. Support to Head Administrator
  •  Various administrative assignments and tasks in regards to school operations;
  • Provide translation services.
  • Providing pupil and staff attendance support to the school
  • Record and monitor student attendance in the ISAMS program;
  • Registration of students who are late for class and adding information to ISAMS;
  • Contact the parents of students who do not come to school and investigate the reasons why students do not come to school.
  • Transfer of information about students to parents. For example, the transfer of information about the health of students admitted by school doctor to parents.
  • Managing the staff, pupil, parents and visitor school entry system
  • Answer phone calls, greet visitors, and provide information to students. Provide communication between Head of Schools, teachers, and students' families.
  • Keeping records of phone and mail inquiries. Operating the school’s main telephone, transferring calls, or taking and delivering messages as appropriate.
  • Receive incoming letters and documents, support to head administrator to register those documents in the system, and forward them to the correct recipient or department for further processing. 
  • All other duties as assigned;

REQUIREMENTS:

  • Bachelor degree
  • Minimum 1 year of experience in a related field.
  • Excellent verbal and written communication skills in Azerbaijani and English, and Russian
  • Excellent at oral and written communication;
  • Strong knowledge of Excel, Word, Outlook and PowerPoint.
  • Excellent time management skills and the ability to prioritize work;
  • Strong organizational skills with the ability to multi-task;
  • Highly responsible & reliable;
  • Ability to work under pressure;
  • Experience of managing a small office;
  • Capable of working independently and collaboratively;
  • People skills.
