POSITION: Receptionist/ Secretary/Admin
LOCATION: Baku-Azerbaijan
START DATE: ASAP
WORKING SCHEDULE: 5 days/week
TYPE OF CONTRACT: Permanent
DESCRIPTION OF SERVICE:
Reporting directly to the CIS District Manager
RESPONSIBILITIES AND DUTIES:
- Register incoming and outgoing phone calls
- Accept register request for outgoing calls for Mobile phones and international calls, call and transfer the call to the person, who requested
- Welcome Customers, visitors, and provide all necessary information to them
- Informing the inviting person of NOV of arriving visitor
- Keep reception area clean as well waiting room for guests
- Keep and organize meeting room before and after meetings
- Registration of incoming letters and outgoing letters
- Keep control of stationary stock and initiate ordering
- Keep control of printing paper and cartridges stock
- Maintain Phone Directory (corporate mobile numbers and extensions)
- If required organize flight tickets, hotel and other travel needs
- Booking hotel accommodation, flight tickets and Invitation letters for coming guests and consultants
- Fax, Copy, scan, print out e-mails and documents on request
- Order office cleaning suppliers
- Follow all Company`s Procedures and Policies dedicated to Reception work (Dress Code, Telephone etiquette, Business ethics)
- Other tasks related with the works
REQUIRED QUALIFICATIONS AND BACKGROUND:
Education: University degree
Experience: 1-2 years’ experience
Team building
Analytical and problem solving
Self starting person, taking responsibilities and initiatives
Deliver high quality and ultimate work
computer skills including the ability to spreadsheet and word processing programs at a highly proficient level
LANGUAGE SKILLS:
Fluent in Azeri and Russian languages, excellent command in English, both written and spoken.
