Job Title: Personal Assistant to General Manager

We  are currently looking for experienced candidate to fulfill  Personal Assistant position.

Job responsibilities

• To provide a high level  support to the Manager;
• To work closely and effectively with the Manager to keep him well informed of upcoming commitments and responsibilities;
• To proactively manage the Manager’s time, ensuring regular catch-up meetings to review and update on diary commitments and key priorities both with internal and external contacts, exercising a high level of judgment on priorities;
• To provide a bridge for smooth communication between the Manager and internal departments;
• devising and maintaining office systems, including data management and filing;
• arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations;
• screening phone calls, enquiries and requests, and handling them when appropriate;
• meeting and greeting visitors at all levels of seniority;
• organizing and maintaining diaries and making appointments;
• dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
• taking dictation and minutes;
• carrying out background research and presenting findings;
• producing documents, briefing papers, reports and presentations;
• organizing and attending meetings and ensuring the manager is well prepared for meetings;
• liaising with clients, suppliers and other staff.

Requirements

1. Work experience in  Administration/Executive Assistant/PA role;
2. Computer skills: Word, Excel, PowerPoint, Outlook and Internet.
3. Excellent oral and written communication skills  both in Azerbaijani and English.
Russian language is an advantage.
4. Excellent inter-personal and communication skills;
5. Excellent organizational skills, ability to multi-task and organize others;
6. Ability to develop and maintain good working relationships at all levels, including during difficult or challenging circumstances;
7. Maximum age is 35 years. Candidates are required to submit their CVs until  June 16,  2014.
