Job description

Main purpose of job

Through impeccable day-to-day management of diary, correspondence, travel and preparedness ensure that the CEO can use their time wisely and effectively and that internal and external stakeholders have appropriate access and productive interactions.
Position in organisation
Report to the Senior Advisor to the CEO
Interface with all levels in the organisation including Board Members, both Executive and Non Executive Directors (NEDs); and externally with Government Ministers, MPs, government officials, PBO/SLC Regulators and other key stakeholders, as well as travel providers etc. to coordinate and other diary events.
 
Scope of job

• Managing the CEO's correspondence, diary, meeting and travel arrangements
• Commission briefings and follow up as required
• Work as an integral part of the CEO Office team which together provides process, content and governance support to the CEO, Chairman, Board and wider Exec in order to focus time and achieve high quality consideration of the most important issues.
 
Duties and key responsibilities

• Responding to requests on behalf of the CEO, Review correspondence and draft response using appropriate members of the CEO
• To manage the CEO  in-tray and email inbox and to ensure he/she is aware in a timely way of all relevant matters.  Deal with as many of the other issues as possible.  To know what and when to raise issues for the attention of the CEO or others
• Review and respond to actions placed upon the CEO at the Board and Executive Management Meetings
• Provide and commission presentation and briefing material in a clear, concise and timely fashion
• Assist to ensure clear communication between the CEO  and Direct Reports.  Ensure that actions delegated to the CEO are complete and followed up by the appropriate members of the Directorate.
• Co-ordinate and maintain the CEO diary to ensure commitments and competing demands are efficiently managed and future needs anticipated to enable the CEO and Chairman's to operate effectively

•   Organising internal and external meetings, conferences and workshops involving extensive liaison between senior departments to make best use of diary and time management for the CEO
