We are looking for a vibrant and enthusiastic Office clerk to join our team as soon as possible.
PRIMARY OBJECTIVE OF POSITION
The Office clerk’s function is to assist and give full administrative and secretarial support to Director
• Handles all mail, including responding, taking action and distributing as appropriate
• Maintains trace files
• Takes minutes of meetings, compiles and distributes them
• Prepares telex and faxes
• Types and distributes memos
• Franks mail, registres cheques.
• Maintains a filing system and ensures filing is kept up to date
• Photocopies information as required
• Maintains an adequate supply of stationary and orders as required
• Types confidential reports and letters
• Distributes internal mail for Director
• Arranges meetings and appointments
• Orders and coordinates travel for Director
• Arranges venues, equipment and refreshments for meetings as required by the Director
• Maintains diary and arranges meetings for the Director
• Answers the telephone, screens calls, and makes calls on behalf of Director
• Reads arrival list and VIP list to make Director aware of returning guests and VIP guests
• Keeps the highest level of confidentiality regarding staff, business and guest information
The ideal candidate should be:
• Well presented, flexible and have good communication skills
• Able to motivate, energize and maintain a positive attitude.
• English, Russian, Azerbaijani, Turkish languages and computer literacy are required.
• Experience in mentioned above position will be plus.
