Purpose of the role:
Office Admin is performing the duty of clerical and administrative support in order to optimize workflow procedures in the office; Assisting colleagues and executives by supporting them with planning and distributing information as well as being the point of reference for all queries, requests or issues.
Job Requirements:
- Answering phone calls, taking messages or forwarding calls to appropriate staff member.
- Reviewing outgoing correspondence for grammar, correctness and completeness, and ensures that required documents are attached.
- Incoming and outgoing mail handling. Reviewing, sorting and distribute the mail to the respective recipients.
- Arranging meetings and coordinating conference room schedules. Prior to meetings, gathering background materials if required and setting up the meeting venue.
- Performing documentation works, both electronic and paper. When requested, searching for and compile requested material from the databases.
Required knowledge and skills:
- Strong interpersonal skills;
- Good written and verbal communications skills;
- Team spirit;
- Solid understanding of filing systems;
- Knowledge of general office procedures;
- A strong work ethic;
- Integrity and professionalism.
Essential requirements:
- Education: Bachelor’s degree.
- Work experience: Proven work experience as a secretary or administrative assistant (minimum 1 year)
- Language skills: Azerbaijani, Russian. English (intermediate)
- Computer skills: Microsoft Office (Knowledge of word processing and spreadsheet software, including Word and Excel).
Desirable requirements: High degree of multi-tasking and time management capability
Additional comments: Expected to work under pressure and overtime if required.
