Purpose of the role:

Office Admin is performing the duty of clerical and administrative support in order to optimize workflow procedures in the office; Assisting colleagues and executives by supporting them with planning and distributing information as well as being the point of reference for all queries, requests or issues.

Job Requirements:

  • Answering phone calls, taking messages or forwarding calls to appropriate staff member.
  • Reviewing outgoing correspondence for grammar, correctness and completeness, and ensures that required documents are attached.
  • Incoming and outgoing mail handling. Reviewing, sorting and distribute the mail to the respective recipients.
  • Arranging meetings and coordinating conference room schedules. Prior to meetings, gathering background materials if required and setting up the meeting venue.
  • Performing documentation works, both electronic and paper. When requested, searching for and compile requested material from the databases.

Required knowledge and skills:

  • Strong interpersonal skills;
  • Good written and verbal communications skills;
  • Team spirit;
  • Solid understanding of filing systems;
  • Knowledge of general office procedures;
  • A strong work ethic;
  • Integrity and professionalism.

Essential requirements:

  • Education: Bachelor’s degree.
  • Work experience: Proven work experience as a secretary or administrative assistant (minimum 1 year)
  • Language skills: Azerbaijani, Russian. English (intermediate) 
  • Computer skills: Microsoft Office (Knowledge of word processing and spreadsheet software, including Word and Excel).

Desirable requirements: High degree of multi-tasking and time management capability

Additional comments: Expected to work under pressure and overtime if required.
