Administrative assistant

• Make travel arrangements for employees and coordinating meetings/inter-company events; includes all visa documentation and management.
• Prepare and process documents for translation via third-party vendor.
• Coordinate department needs, eg. ordering and managing office equipment and supplies, maintaining phone lists ,
• Prepare the required document for office cars
• Assists in special projects from managers as needed, e.g. office, house leasing
• Support business needs of Country manager/ Commercial Manager
• ordering office supplies, stationary, business cards for office employees
• ordering tickets, related transfers (timely appearance of drivers), hotel reservations for CP staff and any other issues-monitoring the processes
• Ordering fuel for Company employees (those who own cars) and other related issues
• Controlling  the expiration date of auto insurance for company cars and other issues related to company cars
• mobile phone services issues
• creating expense reports for Country manager/ Commercial Manager, drivers (when repair is needed for office cars)
• Assisting in the search of apartment for Country manager/ Commercial Manager and executing other requests related to Country manager/ Commercial Manager.
