Role Synopsis:
Administrative Assistant is responsible for implementation of all administrative work at the shopping centre.
Key Accountabilities:
- Assist Mall Manager (MM) with administrative issues
- Prepare and control of database, spreadsheet and reports as per line manager`s request.
- Handles purchasing and maintenance of all general office supplies.
- Control of all the office, kitchen and cleaning supplies in the office.
- Manage reception and kitchen staff.
- Responsible for office administration ERP requests.
- Work with accounting departments to process invoices, make payments, and track receipts.
- Ensuring that the office is well-maintained, organized, and secure.
- Receive and sort mail and deliveries;
- Organize meetings;
- Assist with translation of documents, when required
- Assist MM in admin matters such as receiving guests, filing, etc.
- Any other duties which may be reasonably required by the MM
- Assist Operation Team especially while they are off or on vacation.
- Prepare monthly timesheets and upload it to the EC system
Essential Criteria:
- A bachelor’s degree
- Strong work ethic
- Fluency in English and Azerbaijani
- Good Microsoft Office skills (Word, Excel, Power Point)
- Strong organizational skills with the ability to multi-task
- Excellent time management skills and ability to prioritize work
- Attention to detail and problem-solving skill
- Demonstrated ability to handle administrative details, and routine day-to-day issues independently, assuming responsibility without direct supervision
- Working well as part of a bigger team, but also be able to deliver and work independently;
- Being self-disciplined: high level of adherence to the company requirements, such as code of conduct, dress code, etc.
