Responsibilities:

  • Support the Commercial Team in the drawing of proposal letters by:
    • guiding through the different Company tools/functions and providing the correct Company templates
    • reviewing the invoicing scheme, payment terms, interest application and tax compliance (with external support if required)
    • interacting with the other Company departments for the application of the Company policies
    • verifying the absence of any interest conflict
    • ensuring that Client Facing Contractors process is set up when needed
  • Operate as Tender Specialist by
    • Monitoring websites/trading platforms to identify new biddings/competitions, results of biddings/competitions and distributing the collected information to the commercial team
    • Getting expert analysis of client's bidding documents also managing terms of bids application, terms of documents preparation and bidding process period
    • Interacting with relevant Company departments (i) to get and submit clarification requests and (ii) to get necessary information to compose bids/tender responses
    • Providing document sanitization
    • Organizing for authenticated translations
    • Completing the administrative forms and questionnaires (including verification of possible interest conflicts)
    • Preparing and formalizing complete package of bidding documentation also getting wet or digital signatures as required
    • Submitting documents both for paper and digital tenders
    • Taking part to the envelope opening
  • Interact with banks for the issue of bid / advance payment / performance bonds
  • Manage Clients’ portal and internal registration procedures
  • Supporting collection of key documents (contract or PO or AoA) to allow invoicing to begin

Position requirments:

Qualifications:

  • Bachelor’s Degree in Law or Finance preferred
  • From 3-5 years of experience in legal/finance/commercial or administrative departments with big contracts/documents flow 
  • Good knowledge of tender/bidding legislation, ability to act as an expert for internal clients on all matters related to preparation of tender documents

Technical Skills:

  • Fluency in English and Russian required.  Azerbaijani is a strong plus.
  • Advanced level experience with MS Office: Word, PowerPoint, Excel, Outlook
  • Excellent communication skills (written and oral)
  • Professional, proactive and organized
  • Flexibility
