Receptionist/Personal Assistant

Responsibilities:

  • A corporate receptionist serves as the greeter, information provider, and message taker for incoming calls
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Keep updated records of office expenses and costs
  • To show support to Procurement Department in order to purchase the necessary equipment
  • Assist to Head of Local Projects with all necessary project schedules tracking and updating process
  • To protect the confidentiality of files and registration documents
  • Organizing and planning meetings
  • To schedule meetings with suppliers, arrange visits if required

Requirements:

  • Proven work experience as a Receptionist, Front Office Representative or similar roles
  • Fluency in English and Russian languages;
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g., fax machines and printers)
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
