Administrative Assistant

Key Responsibilities and Specific Accountabilities:
(results this role is expected to accomplish)

o Ensure compliance where appropriate with the company ‘s Procedures and Policies and comply with all safety rules.
o Greet , register visitors, administer visitors cards and notify appropriate staff of their arrival,
o Answer telephone calls and transfer calls to appropriate staff
o Answer general enquiries about the organization
o Provide translation /interpretation (English, Russian, Azeri)
o Arrange appointments for callers or for people working in the company and keep records of these.
o Log and sort incoming and outgoing mail and faxes.
o Keep reception area tidy
o Maintain telephone and staff location lists.
o Oversee the use of the fax machine , photocopier and other office equipment
o Maintain office equipment (cartridges, printers, fax machines, A/Cs, vacuum cleaners) Keep record of the company keys
o Maintain and order office supplies (including cartridges) and stationery as required .Ensure control of the stock and kitchen ware.
o Filing of stationary Requisition Forms
o Perform administrative tasks like typing, filing , photocopying , binding and laminating
o Perform any other duty as assigned by Supply Chain Manager and HR Coordinator
o Preparation and transmittal of documentation for other companies
o Preparation and update of the company’s telephone directory
o Maintain Inventory/stock records for office supplies, stationary and cartridges.

Person Specification – Job Knowledge / Education and Qualifications / Personal Attributes

• University Qualification in  related subject
• Experience of working in International Company associated with both Azeri and non-Azeri employees
• Computer knowledge required: experienced user of MS Office
• Excellent communication, networking and organizational skills
• Knowledge of  English, Azeri and Russian( verbal &written)
• Good interpersonal skills.
• Ability to learn quickly and adapt to new situations
• Ability to work independently and under pressure to complete tasks in a timely manner

Salary is 550 AZN nett per month
