Currently we are looking for a Business Office Assistant to start 1st of August 2019.

The Business Office Assistant is the first point of contact for all visitors to school and is responsible for assisting the Business Office in day to day activities. The Business Office Assistant reports to the Operations Manager who is the line manager for the post holder. Excellent communication skills and organizational abilities are key requirements for this position.

The successful candidate will be responsible for carrying out the below-listed and other tasks that can be assigned by TISA Operations Manager:

• Be TISA and Business Office First Point of Contact
• Monitor and maintain current inventory levels; process purchasing orders as required; track orders and investigate problems.
• Record purchases, maintain database, perform physical count of inventory, and reconcile actual stock count to computer-generated reports
• Confirm, receive, deliver, track and communicate all shipments to the appropriate personnel.
• Regularly review and update evacuation plan in classrooms if any changes
• Ensure staff’s contact details are up to date and perform duties related to evacuation preparedness.
• Verify staff absences with school divisions on a daily basis and confirm during emergency drills or real cases.
• Manage purchasing within Procurement system.
• Confirm, distribute and communicate order specifications to purchasers, end user and managers as appropriate
• Manage, communicate and monitor catering for school/community events within contract specifications.
• Order and arrange catering provision for staff outside normal school operations.
• Create and maintain catering records of designated categories of school operations.
• Verify and confirm accuracy of invoices for Operations Manager.

The successful candidate should be able to adapt quickly to new situations and be able to use strategies for supporting TISA business operations and implement them independently.
