COORDINATOR, STUDENT LIFE & ACTIVITIES

RESPONSIBILITIES

The responsibilities of the position include, but are not limited to the following:

• Coordinate all student life related activities;
• Promote, support and coordinate student clubs, student initiatives and organizations;
• Liaise with students as a main point of contact for clubs, student governments, social responsibility projects, sports tournaments, competitions and other student initiatives;
• Support and motivate in creation of new student clubs and programs;
• Advise student clubs and organizations during their routine work and events planning;
• Regularly review student organizations’ and clubs’ activities to measure effectiveness and necessity of an initiative;
• Engage and motivate student involvement in Undergraduate and Graduate Student Governments;
• Coordinate process of creation, nominations and elections for student governments;
• Advise and liaise on student government activities, provide orientation and guidance;
• Promote and organize various administrative initiatives for students: special events: country series, music and movie evenings, festivals, competitions, graduation ceremony, Honor Code ceremony, etc.;
• Coordinate and support with dissemination of publications and communication materials related to student life & activities (ADA Chronicle, posters of events, club information, flyers, promotion materials etc.);
• Develop and maintain a student handbook, student government chatter, student initiative policies and other important documentations;
• Initiate and coordinate ADA Volunteer Community. Encourage student involvement in community service through volunteer activities;
• Guide and work with students to develop arts and cultural programs;
• Maintain and regularly review calendar of on-campus student activities and events;
• Support in arrangement and coordination of student trips;
• Identify and secure facilities for student programs and events;
• Participate in development, arrangement and implementation of new student orientation programs;
• Take active role in welcoming new students and ensuring their smooth transition into ADA University community;
• Provide an appropriate series of events that encourage student involvement and allows student to engage with University life;
• Organize and coordinate welcome events for new-coming students with support of peer students and student volunteers;
• Initiate and organize sports activities that generate a feeling of identity and belonging to the university as well as promote health and well-being (sports clubs that provide opportunities for individuals to organize around a common interest in a sport inside or outside the University);
• Coordinate well-planned, high quality tournaments and leagues for university students and personnel that, in addition to providing recreational competition, help participants learn character-building principles and values;
• Initiate and organize sports teams that represent the university in competitions with other universities;
• Participate in monitoring of budgets for student governments, clubs and organizations;
• Regularly review student life & activity programs to run evaluation and feedback analysis. Monitor student reviews with the aim of improvement and further development of student life initiatives.
• Ensure student life engagements are meeting and corresponding to the values and principals of ADA University;
• Perform other duties assigned by the Manager of Student Services.

QUALIFICATIONS

• Degree in Sociology, Psychology, Social Work, Business Administration or other related degree;
• Minimum 2 years of work experience in educational environment with the focus on student affairs and student work;
• Proven competence in administration and organization of work-flow;
• Proficiency in Azerbaijani and English, Russian is a plus;
• Effective communicator, flexible and with positive attitude;
• Well-developed approach to details and timely actions, high ability of organization and planning;
• Service-oriented with a great sense of ethics and norms;
• Ability to work effectively with a diverse student population;
• Demonstrated organizational skills with attention to detail;
• Readiness to work a flexible work schedule including evenings and weekends if required;
• Technology savvy: Word, Excel, Publisher; Coral Draw, Adobe Photoshop. Familiarity with Student Information Systems is a plus
