Job Title:  Project Coordinator

Reports To:  Project Manager

Summary

This position reports directly to the designated Project Managers on a day-to-day basis and administratively to the Projects Group Manager. Provides administrative assistance to Projects Group Manager, Engineering Manager and Administrator with all functions associated with the organizational support of various Baku projects as directed.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

• Provide Document Control backup.
• Completes Monthly Invoicing
• Update operations procedures and register for project operations.
• Coordinate project scheduling.
• Distribution of monthly reports, presentations, procedures, proposals and general documentation requirements.
• Confers with project staff to outline work plan and to assign duties, responsibilities, and scope of authority.
• Assist in the development and the maintenance of all OPG forms, work instructions and processes
• Assist in the development & maintenance of the “OPG Data Management System”. 
• Set-up project / job numbers and distribute information to other groups within OII as required.
• Consult with vendors to resolve financial issues.
• Organize and maintain OPG financial files / UDC files; files vendor invoices and purchase orders.
• Organize and get approvals for timesheets.
• Set-up project numbers in Database
• Maintain close-out of purchase orders.
• Provide back-up administrative assistance for OPG.
• Coordinates 3rd party vendors and subcontractors.
• Maintains file structure and project files and project documents including but not limited to:
• Pre-mob activity schedule, project schedule, installation manual, project overview, personnel and equipment schedule, Org chart, Compilation of Post-Job Data Book.
• Reviews status reports prepared by project personnel and modify schedules or plans as required.
• Coordinates project activities with activities of government regulatory or other governmental agencies.
• Responsible for identifying and submitting deliverables for completion of project.

Education and/or Experience

College Degree in Engineering or Finance.  Five years in project support and coordination preferred.

Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports business correspondence and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Computer Skills

Proficient in Microsoft software-Word, Excel, Project, good organizational skills.  Working knowledge of document control (on the job training).
