Duties & Responsibilities
 
Co-ordination of invoicing, budgets, CTR’s, cost reports and spend associated with Asset Integrity clients and sub-contractors, including data manipulation for internal cost and value reporting.
Support the collate cost data from sub-contractors, including timesheet hours, expense claims and third party invoices, and any other cost claim against the company. Verify accuracy of data and ensure all approvals are in place to enable accurate payments to sub-contractors
Be familiar with contractual terms and conditions of the contract and staff’s contractual terms
Assist with the preparation of tenders and the compilation of information required throughout the bid process
Assist with preparation of contractual documentation in accordance with the company’s contract administration procedures
Assist with the preparation of bid qualifications and exclusion clarifications, and ensure all are incorporated within contract documentation prior to issue
Collection, input and management of data to enable accurate and up-to date cost and value reporting
Preparation and production of data required to produce accurate and timely valuations, invoices and work-in-progress values
Support the maintenance and update of the tender and contract registers to ensure their completeness and accuracy
Control, maintain and support the delivery to Delivery Managers with the collation of timesheets
Support the budget and forecast preparation on a monthly basis.  Ensure forecast is updated in a timely manner
Receivables, collected in a timely manner, reporting and resolution of disputes
Administration of CTR’s, ensure all CTR’s are recorded and tracked, register to be maintained and updated in a timely manner
Support with monthly internal flash/client meeting as required
Maintain and update Call Off Maintenance and Sales Log Register

General

The list of job duties is not exclusive or exhaustive and the post holder will be required to undertake tasks that may reasonably be expected within the scope of the post
Assist with any other duties as and when required
Undertake specific projects as instructed by management

Safety

Ensure that the Safety policies and procedures are understood and adhered to so far as is reasonably practicable in order to ensure a safe working environment

Other

Carry out work in accordance with the Company Health, Safety, Environmental and Quality Systems
Perform the assigned tasks with due diligence regarding the Integrated Management Systems on the Company
Eliminate waste of whatever form, to suggest the use of more environmentally friendly substances and practices and contribute to the continuous improvement of the environment

Qualifications
 
Standard of Secondary Education –  Acceptable passes at Higher level , or other equivalent qualifications  (E)
Two years experience in a commercial environment within the Oil & Gas / Construction Industry  (E)
Excellent written and verbal communication skills in English  (E)
Ability to work to deadlines whilst maintaining accuracy and composure   (E)
Ability to work on own initiative and to organise and prioritize their own work load  (E)
Innovative and resourceful with the ability to think laterally to overcome problems (P)
MS Office (E)
Well developed spreadsheet and database manipulation and interrogation skills   (E)
