We are looking for a Program Administrator is responsible for all administrative work including the administration of all documentation related to past and ongoing projects/programs, development of existing databases and maintaining of HR administration.
Location: WWF office in Baku, Azerbaijan
Position title: Program administrator
Reports to: Finance and Administration Manager (70%), Regional HR Manager (30%)
I. Mission of the Department:
To ensure a high performing Finance and administration procedures and practices to support achieving conservation goals that are key for WWF’s network initiatives and other global conservation priorities.
II. Major Duties and Responsibilities:
Administration
• Prepare contracts and TORs according to approved contractual budgets for donors, grantees, consultants etc. and work directly with them to facilitate coordination, communication and regular reporting.
• Ensure proper execution of contract terms with regard to financial and technical reporting and budgeting, in co-ordination with SMT
• Assist in preparation of technical reports and allocation them to the appropriate databases
• Produce all necessary information on current projects and submit it to governmental agencies, when required.
• Prepare required day-to-day records related to tender documentation.
• Review, negotiate and implement insurance policies for the WWF buildings and equipment
• Ensure that a system of filing of contracts and related documents is developed and maintained.
• Provides assistance, takes responsibility for keeping the minutes of meetings, seminars, conferences in the office.
CPM
• Function as Conservation Project Management System (CPM) administrator.
• Provide a tool and assist to project managers and offices to effectively manage their conservation projects and reports on progress (how projects and programs are created in the CPM; how to develop and enter performance ratings for projects report etc).
HR
• Draft and issue accurate employment staff contracts in compliance with local laws and WWF policy and procedure manual.
• Manage and administer leave including; Annual Leave, Sick Leave, Maternity Leave
• Prepare required day-to-day records related to staff travel request forms, references, warrants etc.
• Assist regional HR manager in recruitment and selection process for WWF Armenia Azerbaijan and various HR related tasks.
III. Profile:
Required Qualifications
• University degree in related subject
• 3 years professional experience in a senior administrative position
• Experience in an International organization will be considered as an advantage
• Sound knowledge of legal requirement of RA in relation to the administrative responsibilities of the position.

• Self-starter, strong ability to work with minimum level of supervision, flexible with a solutions oriented approach
• Demonstrated ability to successfully handle multiple, time critical tasks
• Willingness to travel
• Fluency in Azeri, English and Russian
• Advanced computer user

V. Working Relationships:
Internal - Frequent interaction with all staff and departments at WWF Az; interaction with administrative staff at CauPO.
External – local and international NGOs, governmental agencies and etc.
