Job Title:  Operations Manager 

Division: 28 Mall/Nargiz Mall -  Azerbaijan

Reports to: Country Manager 

Immediate Subordinates: Maintenance Team, Cleaners, Workers

CORE PURPOSE OF THE JOB:

Organize the provision of operational and administrative support to the stores/malls in order to resolve day to day issues, including customer complaints and ensure smooth and uninterrupted store operations and improve the quality of daily activity.

CORE FUNCTIONAL ACTIVITIES (CFA)
(what are the main responsibilities and duties of the role, against which performance can be measured?)

Main responsibilities:

To participate in daily morning briefings with Mall Management and Store Management and to learn all problems raised;
To delegate the arised issues to appropriate team members through proper and timely delegation of activities and task to be done.
To control on daily basis the work of Maintenance Team, Cleaners, Workers.

External communication:

To establish and maintain external relations to Mall Management in order to get immediate permission for any type of works to be done within the Stores and any type of works overnight;
Liaison with diverse type of State Authorities and Government Bodies (such as: Ministry of Taxes, Ministry of Labor, Ministry of Emergency Situations, Fire Department, Standardization Department and etc.)

To control Maintenance Team through:

1. To create a weekly/monthly Staff Rotas for Maintenance Team and distribute it among the Mall Management and the Stores;
2. Weekly activity reports sent to Operations Manager;
3. To ensure that all tasks to be done with warranty and proper Act of Acceptance signed by Operations Manager;
4. Weekly reports on local/internal maintenance;
5. Weekly services/consumption reports to Operations Manager;
6. To react and provide proper response to emergency issues;
7. To react and communicate to IT related issues with IT Department.

To control Cleaners through:

8. To create a weekly/monthly Staff Rotas for Cleaners and distribute it among the Mall Management and Stores;
9. Attendance control (Log in/Log off);
10. Check out the work of Cleaners (if they do properly flooring/moping, windows, mirrors, trashing out in transparent plastic bags as per the procedure )

To control Workers through:

11. To create a weekly/monthly/emergency Staff Rotas for Workers  and distribute it among the Mall Management and Stores;
12. To allocate the Workers as per Stores request;

Directly reporting to the Country Manager. Close relationship to Mall Management, L&P Manager, Operations Manager,  Logistics Manager and others

External (i.e., suppliers, customers, service providers)

Service providers, vendors, contractors

PERSON SPECIFICATION:  (what capabilities will be required to perform this role?)

QUALIFICATIONS:

Essential (i.e., must posses) 

A Good command in Azerbaijani, Russian and English Languages. 

Desirable (i.e., added advantage, not compulsory)

Proficiency in Azerbaijani, Russian and English Languages.

RELEVANT EXPERIENCE:

Essential (i.e., must posses) 

At least 3-5 years solid experience in Operations
Hands-on computer skills and experience  

Desirable (i.e., added advantage, not compulsory)

Proficiency with email applications, MS Office applications particularly Word and Excel, and strong Internet knowledge.

COMPETENCIES:  (Technical, Operational, Managerial, Human & Cultural Requirements)
